What is FieldVet?

FieldVet is a modern practice management system (PMS) built specifically for ambulatory equine veterinary practices. It covers scheduling, routes, clinical records, billing, payments, stock and reporting in one platform.

Can FieldVet replace Merlin?

Yes — FieldVet is designed as a modern replacement for legacy PMS software like Merlin, purpose-built for equine field work rather than adapted from clinic software. Migration support moves your clients, horses, history and invoices across.

Is FieldVet built for equine vets?

Entirely. The data model is client → yard → horse, scheduling is route-aware, the mobile app is designed for gates and fields, and clinical templates cover vaccinations, dentals, lameness, colic, PPEs and more.

Does it support yards and multiple horses?

Yes. A client can own multiple yards, each yard holds multiple horses, and every yard stores address, coordinates, gate codes and access notes.

Does it support billing?

Yes — charges are captured by the vet at the visit, flow into an admin review queue, and become sequential, VAT-correct invoices with credit-note corrections.

Does it support invoicing?

Yes. Invoices can be created from one visit, several visits, or a whole yard call, then sent to the client by email as a PDF with an online payment link.

Does it support payments?

Yes. Clients can pay online via a payment link that settles to the practice's own account; part-payments, refunds and aged-debtor tracking are included.

Does it support Google Maps?

Yes — jobs and yards are geocoded, routes are shown on an interactive map colour-coded by vet, and vets get one-tap turn-by-turn navigation.

Does it support what3words?

Yes — what3words is supported for field-only locations without a usable postal address, alongside standard address geocoding.

Can locums use it?

Yes. Locum accounts are time-boxed, expire automatically, see only their assigned jobs, and cannot export practice data.

Can vets use it on mobile?

Yes — the vet app is mobile-first and designed for field use: today's jobs, navigation, status updates, voice notes and charge capture.

Can it handle emergencies?

Yes. Emergencies are added in seconds with a severity level; FieldVet shows the nearest, fastest and best-overall vet and the knock-on impact on the day.

Does it support stock and medicines?

Yes — practice and vehicle stock, batch numbers, expiry dates, low-stock alerts, and a controlled-drugs register with a full audit trail.

Can it migrate data from an old PMS?

Yes. Migration tooling imports clients, horses, yards, clinical history, invoices and payments, with field mapping, validation and a preview before anything is committed.

Does it integrate with Xero?

Accounting-ready CSV exports for Xero and QuickBooks are supported today, with direct API integrations on the roadmap.

Does it work offline?

Yes — the vet app caches the day's jobs and queues notes, charges and status changes locally, syncing automatically when signal returns.

Is it suitable for mixed practices?

Yes — many mixed practices run their equine ambulatory workload on FieldVet alongside their clinic system, with clean billing export.

How does the AI dispatch work?

A deterministic scoring engine ranks vets by distance, route impact, skills, workload and history with the horse; AI writes a plain-English explanation. Admins always review and can override.

Is my practice's data secure?

Yes — every practice's data is isolated with row-level security, encrypted in transit and at rest, with role-based permissions and full audit logs.

How long does setup take?

A new practice can be scheduling on day one. Full migration from a legacy PMS is typically completed within days, not weeks.
